Section
Time Entries
The tasks tied to a record. Since a started task is a time entry, this is also where the time logged against it lives.
You'll find this section on a case, a lead, a contact and a campaign.
The Time Entries section lists the tasks tied to this record. Because a task and a time entry are the same object in Outlaw (a task becomes a time entry the moment someone starts it), this one section covers both the work that’s planned and the work that’s been done and timed.
Field Reference
| Field | What It Means | Values |
|---|---|---|
| Billable | If this task is related to a case (or an initial consult with a lead), this area shows the detailed billable parameters. The Description field is the description that will be visible on the invoice. No Charge means that the cost is set to $0, but is left on the invoice. Exclude From Invoice means that the cost is set to $0, and is removed from the invoice. Never delete a task because it is zeroed-out, as we use these tasks to determine the total billed and paid for the case. Discounting your time to zero does not change the fact that you spent your valuable time on this task! The remaining items show the labor rate and time, travel rate and time, and the total cost. Any and all of these can be overridden. For example, you may cap your travel time for a court appearance to 1 hour if you have a particularly long drive to the courthouse. Or you may decide that you can not reasonably charge the full time that you spent, so you lower the time. This means that you show the time on the invoice as the overridden amount, but for billed and paid the total time is considered billed. This is to help you understand the cost of writing down your hours or pay! | |
| Hide From Invoice | Should this entry be hidden from the invoice? | |
| No Charge | No Charge will show the time entry on the invoice, but the amount will be set to $0. |
If you’re new to this idea, start with Tasks and time entries are the same thing.
What You Can Do Here
- See every task connected to this case, lead, contact, or campaign. They’re the same tasks that appear, prioritized by impact and urgency, on your Tasks page; editing one in either place edits the same task.
- Add a task already linked to this record: tasks created here come pre-filled with the connection, so nothing needs re-tagging later.
- Toggle completed or uncompleted work in or out of view: day to day you mostly want open tasks; at billing time, the finished ones.
- Run the timer right from the list: each row carries the start/stop control, so logging time doesn’t require opening the task.
- Export the list. On a case, the export is your case time-entries report.
On a case, the section header shows the running unbilled total (the dollar value of completed, not-yet-invoiced work), so you always know what’s waiting to be billed.
Where You’ll See It
Time Entries appears on a case, lead, contact, and campaign. A task doesn’t have a Time Entries section of its own: a task is the time entry. The delivered invoice is what the client receives; the working entries here are your firm’s books.
